BOOKING TERMS AND CONDITIONS

It is strongly recommended that you are protected by the appropriate level of holiday/travel insurance prior to making a booking.

We know it is a pain to read the Terms and Conditions, but they are they to protect you, our lovely guests, us as your hosts and of course our cabins, so please do take the time to read these. 
Please ensure you read and fully understand these booking terms and conditions. If anything is unclear, please contact us so we can explain in further detail to avoid any misunderstandings. 
You will not be able to proceed with your booking without confirming that you have read, understood and commit to following Grandborough Glamping Terms and Conditions.
Please note: the lead guest (the person who has made the booking) is responsible for reading, sharing with fellow guests and acting appropriately alongside the following Terms and Conditions as set out below.

All bookings are subject to the following terms and conditions:

General

  • No parties or events – the maximum number of persons using the accommodation at any time must not exceed 2 adults aged 18 or over. We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition.
  • The number of guests must stay the same throughout the stay
  • Visitors are not permitted at The Hoot or The Potting Shed, unless confirmed in writing after a request from the lead guest.
  • Please lock the doors and close the windows when you leave the property unoccupied.
  • Please be mindful to turn off lights before leaving the property at any time – as we are solar powered it is wise to use resources carefully especially on cloudy days. Also we want to have as minimal impact upon the environment as possible. 
  • Guests may not to use the property for illegal or immoral purposes
  • You may not transfer any of your rights or obligations under the terms to another person without our prior written consent.
  • We, or our representatives reserve the right to enter the property at any time to undertake essential maintenance or for inspection purposes.
  • Your vehicles and their accessories and contents are left entirely at your risk. Grandborough Glamping will not be responsible for any loss or damage from or to any vehicle.
  • Grandborough Glamping shall not be liable for any temporary defect or malfunction of any equipment, machinery or appliance in the building, grounds or hot tub
  • No compensation will be given for any temporary outage of electricity, gas, water or internet connection.
  • Grandborough  Glamping are not responsible for the loss of any personal belongings or valuables of the guest. We will make reasonable efforts to return items if notified within 24hours. The guest is responsible for arranging pick up / delivery.

Booking and Cancellation

  • The prices featured on the website are not binding. We reserve the right to modify these prices at any time. The price stated on your booking confirmation email is binding. Grandborough Glamping reserves the right, at all times, without statement of reasons, to refuse or cancel a booking.
  • A contract between you and Grandborough Glamping will come into existence when payment is received, and a booking confirmation is issued showing the confirmed holiday dates. The contract, which includes the Terms and Conditions as set out here binds you and all the members of your party. This binding contract comes into force when your booking is confirmed by email. This contract is governed by English Law where it is mutually understood that any dispute, claim or other matter that arises out of this contract or your holiday will be dealt with by the court of England and Wales. As lead guest, it is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms and conditions of booking. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking.
  • The guest names provided at the time of booking must be the occupants unless an arrangement has been agreed in writing by Grandborough Glamping
  • A non-refundable 25% deposit of the holiday cost is payable at the time of booking. Bookings made less than 8 weeks before your arrival date must be paid in full.
  • All cancellations must be notified via telephone or email and will take effect from the date received by us. If you cancel your holiday more than 8 weeks before it is due to start, then your deposit will be forfeited. If you cancel less than 8 weeks before the holiday, then the full balance remains due and is not refundable. We will make every reasonable attempt to re-let the cabin for your booked dates and refund you less a £50 admin and additional advertisement fee if another letting can be booked.
  • Balance of payment, by bank transfer, is due 8 weeks before the commencement of your holiday
  • We strongly advise that you take out the suitable and comprehensive travel insurance to cover cancellations or any other eventualities. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation.
  • Your booking will not be cancelled by the owner except in exceptional circumstances beyond our control. Notification will be given of the cancellation as soon as possible and we will promptly refund all payments made for your holiday. Our liability for cancellation will be limited to payments made to us by yourself.
  • Bookings cannot be accepted from persons under eighteen years of age.
  • Grandborough Glamping reserves the right to refuse a booking without giving any reason.
  • Occasionally, we have to make changes to bookings. Whilst we endeavour to avoid making any changes, we reserve the right to do so and no compensation is available
  • We rely upon the information you provide to help us anticipate and satisfy your needs. We therefore require you to update us with any change in circumstances prior to and during your stay
  • If you are unable to travel due to personal illness (e.g. Coronavirus or other sickness), our cancellation policy will apply. In the unlikely event that we need to cancel your holiday, due to an overbooking or other unforeseen circumstances, we shall inform you as soon as possible and refund all monies paid to us, by you within 14 days. If Government policies restrict travel and you are unable to travel to stay with us, you will have the option to postpone your stay to a later date (subject to any differences in price applicable for the new dates) or receive a full refund.

Security Deposit

  • A refundable security deposit of £150 per stay is required. The security deposit is held against damage, excessive cleaning, or breach of these terms and conditions during the stay, it will be returned following departure., subject to a satisfactory inspection of the property.
  • Deductions may be made from the security deposit to cover, but are not limited to, damage to the property or contents, excessive cleaning, undeclared dogs or unpaid pet fees, and for non-payment for items taken from the honesty box for logs and kindling.
  • Any remaining balance of the security deposit will be returned following departure. Please note that it may take several working days for the refund to appear in your account, depending on your bank or payment provider.
  • Where costs exceed the value of the security deposit, guests may be liable for the addition amount.

Check in / out

  • Check in to The Hoot and The Potting Shed is from 3.00pm (unless otherwise agreed in writing) and guests are required to vacate the cabin by 10:00am on the day of departure. This allows the accommodation to be thoroughly cleaned and prepared for incoming guests.
  • Grandborough  Glamping reserves the right to make a charge to cover additional cleaning costs if the client leaves the property in an unacceptable condition.
  • Full check in/out details are included in the cabin handbook, which can be found inside the cabin

Pricing

  • Prices do not include any additional services or features
  • You will pay us the price of your stay as set out in your confirmation email, no reductions or refunds can be given for any unused portion of your holiday due to curtailment.
  • Price adjustments, promotions and special offers are introduced at the discretion of Grandborough Glamping and can be withdrawn at any time

No-shows

  • In the event of ‘no-shows’, we do not offer any (either full or partial) refund. We strongly suggest that you take out appropriate UK travel insurance when you make your booking
  • Coronavirus is now a known disease and risk so you would not be entitled to a refund. Please make sure you have suitable travel insurance at the time of booking that covers for such eventualities.

Parking

  • The Hoot is accessed from a single track lane and has a large gravelled car park. Please park in this area not on the grass in front of the cabin.
  • When accessing The Potting Shed you will be able to drive carefully through the meadow right up to the cabin, weather permitting .  If the ground is wet there is parking just inside the gate from the road in the yard. You will then have a short walk through the meadow to the cabin – we can  provide wellies and a festival trolley if required.

After arrival at The Potting Shed please close the main gate once you have driven through – it is to stop animals getting in and out!

Hot tub use

  • In order to maintain the best levels of hygiene, the hot tub is emptied, cleaned and refilled after the departure of each guest.  
  • Full hot tub usage information is included in the handbook, which can be found inside the cabin

Noise

  • This is a very rural village location and as such there may be farming activities going on at certain times of  the year; you may also experience noise from the sheep, ponies or donkeys.

Dangerous Items

  • Shotguns, knives, air weapons, archery equipment, Chinese lanterns, fireworks (including sparklers), illegal substances or comparable items are strictly forbidden at both cabins. Breach of this policy may result in us asking you to leave immediately. No refunds or compensation will be given.

Bringing your dog

  • Up to 2 dogs are permitted at The Hoot – unless a prior agreement has been reached via email. NO DOGS are permitted at The Potting Shed
  • If you are bringing your dog(s) this must be indicated on the booking form. There is a charge of £20 per dog per stay. You will need to enter amount and approximate size at the time of booking. No additional dogs will be permitted, nor will dogs be permitted if they are not on the booking form
  • Well-behaved dogs are very welcome, but must be declared at time of booking and the appropriate fee paid. If a dog is brought to the property without prior declaration, the cost of the dogs stay will be deducted from the deposit prior to it’s return.
  • It is the responsibility of the owner to ensure Dogs are kept under control whilst staying at both Cabins. They should not be left outside alone.
  • All mess is picked up and bagged before depositing it in the appropriate bin. 
  • Dogs are NOT to be left alone in the cabin at any point during your stay.
  • Dogs are NOT permitted on the bed.
  • Please do use the outdoor hose  should your dog be muddy.
  • Provided throws must be used on furniture during your stay not the sofa / chair throws

Cleaning, theft, damage and breakages

  • Please leave your accommodation tidy and let us know if anything gets broken so we can replace it for our next guest. 
  • In making a booking, you accept responsibility for any theft, breakage or damage caused by you, or any member of your party. Accidents happen and we will only charge for replacements in exceptional circumstances, as we expect a degree of wear and tear. If the damage is directly attributable to the guest, then we reserve the right to request payment to cover all damages incurred directly during your stay and will deduct from the security deposit if needed.
  • All cleaning, under normal circumstances is included as part of your stay. If additional cleaning is required, including washing up, additional cleaning of the interior or fixtures and fittings then Grandborough Glamping reserves the right to charge for this work at a rate of £15 per hour – we will invoice guests following their stay and deduct from security deposit.
  • Guests will be charged for any item(s) that are removed or lost from the accommodation.
  • You must not remove robes, towels or any other item from the cabin. A charge to replace these items will be levied for any missing items which will be checked against the inventory at the end of your stay

Wi-Fi

  • Wireless Internet access is not available- this is intentional! At both locations however there is a good phone signal and 4G.

Smoking

  • Smoking is NOT permitted in the Cabin or outside on any wooden decked areas. Smoking is permitted outside, but please extinguish cigarette butts fully in the sand bucket provided and dispose of them responsibly. Please do not leave cigarette butts on the floor under any circumstances.
  • Smoking in NOT allowed in and around the hot tub. Smoking includes all tobacco products vapes and e-cigarettes. A charge of £200 will made if we find any evidence of smoking inside the cabin 

Candles

  • Due to the high fire risk with a wooden structure, the use of candles, tea lights or any naked flames, are NOT permitted at any time anywhere on site. There are plenty of battery powered ‘fake’ candles, solar lights and low lit lamps to enhance your evening should you wish

Safety

  • Grandborough Glamping provides  rural stays in the countryside within  natural environments . This environment presents inherent risks, and these form part of the experience you are entering, when you stay. We work hard to protect the native plants, trees, and wildlife and often areas have been ‘set aside’ for habitats to flourish. There may be rabbit holes, badger holes and mole hills along with exposed tree roots. You are reminded of the higher degree of risk a rural environment presents and you should always take appropriate and reasonable care for your safety and that of others. This includes wearing suitable clothing and footwear for the terrain and weather conditions during your stay. Decking around The Hoot can be slippery after rain or frost so please be aware of this.

Fire Regulations and Safety

  • New regulations came into effect on 1st October 2023 concerning fire safety in paid for accommodation such as our Cabins. As such, we ask that you read the following information very carefully:
  • Upon arrival, please familiarise yourself with the exit doors and how they open
  • The fire extinguisher and fire blanket is located to the right hand side of the back door in The Hoot and in the kitchen cupboard in The Potting Shed.
  • If there is a fire, call us immediately, evacuate and call 999 if necessary

You are fully responsible for your own safety at all times

Electric Vehicle (EV) Charging

  • Currently, there is no facility for charging EV’s as we are off grid. Your nearest charge point can be found at the main car park in Southam and also Tesco at Southam

Extreme Weather

  • Grandborough Glamping holds no responsibility for guests who are unable to attend the accommodation due to extreme weather or traffic conditions (e.g. snow, flooding, high winds, road traffic accidents/congestion, train delays, etc.). If a guest is unable to reach our cabins due to adverse weather conditions or travel issues, you will lose your full payment, and an alternative date will not be offered. Please ensure you have full holiday / travel insurance to cover such eventualities. If we make the decision to cancel your stay for safety reasons due to extreme weather, we will offer you an alternative date, subject to availability. 

Force Majeure

  • Grandborough Glamping accepts no liability for events prior to or during your stay, that are totally beyond our control. For example, destruction of property due to flood, fire, earthquakes or acts of nature, or if the property becomes uninhabitable due to irreparable damage or on Health & Safety grounds that could not have been foreseen. Typical Force Majeure events may include, but are not limited to, pandemic, terrorism, serious crime, natural disaster, ‘Act of God’, government or public authority action or intervention, law and travel restrictions. In such instances, refunds will be at our discretion. We will endeavour to manage any problems cause by such an event, but will be under no obligation to do so and shall not be liable to you for any losses caused by a Force Majeure event. Please ensure you have full holiday / travel insurance to cover such eventualities.
